File format
Upload one Excel workbook (.xlsx, up to 20 MB) per campaign, with a campaign name. The first row holds the column names and each later row is one loan. A loan can have up to three respondents on its row: the borrower, a co-borrower and a guarantor.
Start from the sample sheet: on the client home page or the upload page, choose “Download sample sheet”. It has the columns in order, an example row, and a Dictionary tab that marks the required columns and explains each one.
- Cells can be text or numbers. Blank cells, and cells that say
N/A,NA,-,nilornone, count as empty. - Blank rows, and footer rows such as “Generated: …” or “Total Records: …”, are skipped.
- Extra spaces in headers and cells are ignored, including non-breaking spaces copied from other systems.
- Amounts are read in rupees and stored exactly to the paisa. Never round them yourself.
Required columns
A row cannot become a case without these. Names are as in the sample sheet; your own sheet can use other names (see column profiles).
| Column | What to enter |
|---|---|
| Loan ID | Unique for your organisation. A loan ID that appears twice in one file is an error. |
| Agreement Date | Date of the loan agreement. |
| POA Name | Your authorised signatory for the case (power of attorney holder). |
| Borrower Name | As in the loan agreement. |
| Borrower Address | Full postal address. |
| Borrower Pincode | 6-digit Indian pincode. |
| Borrower Mobile | Indian mobile number. |
| SOA Date | Date of the statement of account the claim is based on. |
| Claim Amount | In rupees, as on the SOA date. Must be more than zero. |
Other columns
Fill these where you have them. The more you give, the more channels a notice can use and the fewer questions come back to you later.
| Group | Columns |
|---|---|
| Loan and branch | Branch Code, Branch Name, Branch Address, Region, Product, Loan Status (RUN, MAT or S&S) |
| Signatory | POA Father Name, POA Age, POA Designation, POA Phone |
| Each respondent | Name, Father Name, Address, Pincode, Mobile, Email, WhatsApp Consent, SMS Consent, for the borrower, the co-borrower and the guarantor |
| Consent evidence | Consent Source (where consent is recorded, e.g. a clause of the agreement) and Consent Date |
| Vehicle | Vehicle Description, Model Year, Vehicle Reg No, Engine No, Chassis No |
| Amounts | 1st Due Date, Last Due Date, EMI Tenure, Loan Amount, Interest Amount, Total Agreement Amount, Total Received, DPI Amount, Arrears, Claim Amount in Words |
| Arbitration | Interest Rate % p.a., Seat, Venue, Arbitration Clause Ref (clause and page), Language (en, hi or mr), Claimant Counsel, Sec 17 Required, Legal Heir Name (if deceased) |
Consent for WhatsApp and SMS. Enter Yes only where you hold evidence of consent, and say where it is recorded. Without it, the respondent is reported as not reachable on that channel.
Interest rate, seat, venue and clause reference are used in the notices. If they are missing for a case, notice generation for that case stops and asks for them: a notice is never sent with a blank field.
Column profiles
Your system may export columns under its own names, in its own order. A column profile records which of your columns means which field, and is saved for your organisation so the next upload maps itself.
- Upload the file. It is checked for viruses and format first.
- Choose a saved column profile. The best match for your headers is suggested.
- The rows are checked against the profile and a summary shows how many are ready, how many have errors and how many have warnings.
If your sheet repeats a column name, the profile says which occurrence to use. Ask your case team to set up or change a profile.
Fixing errors
Errors stop a row from being imported; warnings do not. You can fix cells in the grid on screen (“Save and re-validate” on each row), or download the error report (an Excel file with your rows, the errors and warnings beside each, and a list of every issue), correct your sheet and upload it again.
| Message | How to fix it |
|---|---|
| A required column is missing | Pick or edit the column profile so the column is matched, or add the column and upload again. |
| Loan ID missing or repeated | Every row with data needs a loan ID, and each loan ID once per file. |
| Date is missing or not a date | Use DD/MM/YYYY (or DD-MM-YYYY, DD.MM.YYYY, YYYY-MM-DD), or an Excel date cell. |
| Mobile is not a valid Indian mobile number | Ten digits starting 6–9. A leading 0 or +91 is removed for you. |
| Pincode is not a 6-digit pincode | Required for the borrower. For a co-borrower or guarantor, a bad pincode is a warning and the pincode is read from the address. |
| Claim amount is not a number or is zero | Write the amount in rupees, with or without commas, “Rs.”, “₹” or “/-”, and up to two decimals. |
| A respondent has contact details but no name | Add the name, or clear the contact cells if there is no such respondent. |
| Email address is not valid | A warning. The address is ignored, so the notice will not go by email to that respondent unless you correct it. |
| Consent value is not Yes or No | A warning. Use Yes or No; anything else is read as no consent recorded. |
When rows still have errors, you can submit the valid rows and leave the others out, then upload the rest later as another campaign.
The reachability report
Before you submit, the upload shows how many respondents can be reached on each channel, and why the rest cannot:
- WhatsApp and SMS need a valid mobile number and recorded consent.
- Email needs an email address.
- Post needs an address and a pincode.
A respondent who cannot be reached on enough channels is a risk to service. Add the missing details before the notices go out, or answer the data request your case team sends you.
After you submit
Each valid row becomes a case with its own case number, and the campaign appears under Campaigns. Next, attach the loan documents for each case: see Documents in the client guide.
